Build the core commercial-document set

Most international orders begin with a proforma invoice to confirm the commercial terms, followed by a commercial invoice and packing list for shipment and customs processes.

The model description, quantity, weights and shipment details should be consistent across the order documents. Ask your customs broker or importer to confirm exactly what is required in the destination market.

Check whether origin or market documents apply

Do not assume a document applies to every market. Confirm the requirement with the local importer, customs broker and relevant authorities before production is finalised.

Handle battery transport as a separate workstream

Electric motorcycle shipments can involve additional battery transport documentation. The document set and classification depend on the battery chemistry, packing condition and route.

Coordinate early with the battery supplier and freight forwarder. They can confirm carrier requirements, packaging, declarations and supporting test or safety documents for the planned shipment.

Use a document-consistency check before booking

Before shipment, compare the final invoice, packing list, product description, quantities, weights and carton information. Inconsistent records can delay booking, customs processing or destination clearance.

Give the importer digital copies early enough to review their local import requirements, then retain the final agreed versions with the shipment record.
